The Hawks Cay Resort is offering a reduced rate for TWO TYPES of beautifully appointed guest room accommodations: Deluxe Hotel Guest Room (one king or two queen beds) housed in the main hotel building
-or- Duck Key villas located throughout the resort property.

Deluxe Hotel Guest Room ($125 a night with 1-2 people per room)
The resort’s regular hotel guestrooms feature 420 sq. ft. of spacious accommodations with separate bath and vanity areas, balcony porches, small refrigerators and coffee makers. These rooms are available at the group rate of $125 a night with one or two people per room. A $20 charge applies for each additional occupant.

IMPORTANT NOTE ABOUT ROOM TYPES: The majority of guests rooms have one king bed instead of two queens. If you plan to share a regular guest room with someone, we recommend you contact the hotel immediately to reserve you room and specifically request a room with TWO beds.

Two-Bedroom Duck Key Villas ($250 a night with 1-2 people per room)
The hotel has two types of villas – preferred villas which are available at premium rates, or Duck Key Villas, which can have various decors outside the Hawks Cay line. A very limited number of Duck Key Villas are available for $250 a night if you are traveling with multiple colleagues and wish to share accommodations. Individually furnished and decorated, the two bedroom, two bath Duck Key Villas offer 950 sq. ft. and sleeping space for up to five. Amenities include a full kitchen, washer/dryer, living room, and balconies for an outdoor view. Housekeeping service is provided after each 3rd night of stay in a villa. ADA compliant villas are available on request. Duck Villas are available at a special group rate of $250 a night with one or two people per room. A $20 charge applies for each additional occupant with a maximum of five occupants per villa. If you wish to book a Duck Key Villa, we encourage you to make your hotel reservation as soon as possible, as they are only available on a first-come, first-served basis, and once booked, no longer available.

FREE Amenities Included in Guest Room Rate
The Hawks Cay nightly resort fee for either room type includes a $20 resort fee that has been incorporated in the discounted group guest room rates. This fee includes a Daily Newspaper, Local and Toll Free Calls, Wireless Internet Access in the Hotel, Self-and Valet Parking and Daily access to Hawks Cay Health Club. Housekeeping and bellman gratuities are also included in the resort fee, but you are welcome to thank employees for good service.

Reservation Deadline
Because this is a very special discounted rate in the Keys during October, the ADVANCE RESERVATION DEADLINE is Friday, August 27, 2010. To guarantee you receive the DISCOUNTED GROUP RATE, reservations MUST be made by THIS DATE. Our block of rooms may fill before the deadline, so we urge you to make your reservation as soon as possible.

IMPORTANT NOTE: After August 27, the discounted rate may no longer be available and the hotel’s prevailing hotel rates may apply, depending on availability.

If you want your room charges split between occupants, we recommend you provide the hotel with ALL occupant names at the time you make the reservation. When you check-in, request a separate billing folio for each occupant, so room charges can be divided evenly amongst you.

The group rate will be honored three days prior and three days following the conference, based on availability. REMEMBER: The deadline to make your reservation and still receive the discounted group rate is Friday, August 27. After this date, guestrooms and the group rate may no longer be available.

GUARANTEED RESERVATIONS
All reservations must be accompanied by a first night room deposit or guaranteed with a major credit card. The hotel will not hold any reservations unless secured by one of the above methods. Cancellation of individual reservations within three (3) days of arrival will result in forfeiture of deposit or first night's room and tax.

RATE AVAILABILITY
The discounted negotiated group rate is available three days prior and after the official meeting dates, based on availability. This discounted group rate is not commissonable to travel agents.

TAX EXEMPTION
All room rates are quoted exclusive of applicable state and local taxes, currently 12.5%. (To receive tax exempt status, payment must be made in the form of a government issued check, credit card or purchase order, and, be accompanied by a Florida sales tax exemption certificate presented at check-in.)

CHECK-IN and CHECK-OUT
Check-in time for all group attendees is 4pm. Check-out time is 11am. Any group attendee departing the Hotel later than the scheduled check-out time of 11:00 a.m. will incur a late check-out fee of 50% of the group rate for one night. The hotel will remind you of this policy at the time of check-in. Although the Hotel will make every attempt to accommodate late check-out requests, the option is strictly based upon availability.
