*Facility Usage Fee

The guest room block and group room rate that have been negotiated with the host hotel include costs incurred to provide the large quantity of meeting space required for this conference. If a sufficient number of guest rooms are not occupied by conference attendees throughout the meeting, organizers will incur additional costs for meeting room rental charges. Therefore, we encourage all meeting participants to stay at the host hotel. Participants not lodging at the Embassy Suites Orlando-Lake Buena Vista South during the conference will be charged a $100 Facility Usage Fee to cover their portion of meeting room rental charges incurred. If your residential address is located in Osceola or Orange County, you are exempt from the Facility Usage Fee for this conference. [More about the Facility Usage Fee…]

Please also note that if you choose to commute to the conference each day, you will not be eligible for the Embassy Suites’ complimentary cooked-to-order breakfast and nightly Evening Reception included in the guest room rate. In an effort to lower registration fees this year, the conference will not be offering a daily continental breakfast due to the hotel providing this amenity. 

What does the registration fee include?

Full Conference Registration: The registration fee provides full participation in 2.5 days of educational programming, conference materials, a program book including speaker information, Monday Welcome Reception, Tuesday Boxed Lunch, Wednesday Awards Lunch, and daily refreshment breaks.

One Day Registration: Provides full participation in all conference functions for that day only. Each day will have a different colored nametag to help identify One Day attendees.

Guest Registration: Provides guests 10 years of age or older participation in the Monday Welcome Reception and the Wednesday Awards Lunch. Please note that guests are not permitted to attend the daily educational sessions or refreshment breaks.

Sunday Optional Pre-Conference Field Trips: Participants and guests may register for one (1) of the two (2) optional field trips via the conference online registration form (link below). The cost is $35 per person per trip. Advance registration is required by Friday, October 2, 2015 and each tour is limited to 50 people, so register early!

Refund Policy:
Requests for registration refunds will be honored if notice of cancellation is received by the University of Florida IFAS Office of Conferences & Institutes on or before Friday, October 2, 2015. Please contact conference registrar, Kimberly Brand, at or 352-392-5930 if you wish to cancel your registration. A $50 processing fee will be deducted from each Full Conference registration refund, and a $25 processing fee will be deducted from each One Day and Guest registration refund. No refunds will be honored for cancellations after Friday, October 2nd.

Special Needs:
Special needs (such as visual, hearing, or walking impairments) of registered attendees can be reasonably accommodated if they contact the University of Florida IFAS Office of Conferences & Institutes at least 10 working days prior to the conference.
