We want your participation as an exhibitor to be an enjoyable experience. Below you will find some ‘need to know’ bullets so that you have all information at your fingertips. If you have additional questions, please contact us.

Booth space is NOT carpeted; Exhibit Hall floor is concrete. Carpet is optional. Carpet will be available for rent through the exhibit services kit sent at a later date or, if desired, you may bring your own carpet if it meets fire code standards.
The Friday opening reception will be held in the exhibit area giving attendees first option to leisurely visit with you. The Saturday Early morning refreshment and refreshments breaks will also be held in the exhibit hall making it the primary gathering place for attendees. There is also dedicated time in Saturday’s program strictly for visiting with exhibitors thereby providing ample opportunities for networking.
All booth representatives must be either a registered conference attendee or a Saturday exhibitor representative wearing a floor badge.
At least one conference attendee registration is provided complimentary with each booth rental package. (Refer to the individual rental packages for the designated number of complimentary registrations). The conference attendee registration provides access to the Friday evening reception, Saturday’s educational program, Saturday’s lunch and evening social event, Sunday’s breakfast and educational program. Refer to the conference agenda for the full range of conference activities.
If you wish to register more than the allotted complimentary attendee representative(s), please refer to the conference registration portion of the website.
Each booth rental package also provides the opportunity to purchase Saturday exhibitor representative floor badges. The badge will list your organization, and may be exchanged between representatives during the course of the day if wished. (There is no individual named on the badge.) The floor badge allows access only to the exhibit floor. It does not include the educational sessions, lunch, Saturday social or Sunday activities.
As an additional option, one Saturday lunch and/or Social ticket may be purchased with each floor badge. The deadline to purchase is June 1, 2011. Due to advance guarantee requirements, tickets are not available after June 1.
Exhibitors have the option of conveniently purchasing up to five amps of electricity with their booth rental, saving $5.00 off the published Edlen price.
Exhibit Services, Inc. (ES) is the Official Exhibit Services Contractor. Prior to reserving space, please read the section about the Official Exhibit Service Contractor and services offered.
If ordering electricity or internet connection, please read the section titled "Electricity & Internet FAQ and Ordering" for information on pricing structure and additional guidance.
All exhibitors purchasing electricity must be in compliance with Edlen’s Regulations and General Information, whether through the booth rental or directly with Edlen Electric.

Below you’ll find information to help you prepare with your booth rental order

The person completing the online booth rental application and contract should be the representative authorized to bind your organization to the Exhibitor Rules and Regulations governing the conference.
Be prepared to provide the full contact of the primary contact person from your organization to receive exhibit information and the exhibitor kit for the conference. This person’s email will also be included on the website as the point of contact for interested customers and clients.
As an exhibitor, you will be required to detail all items that you plan to exhibit when you reserve space, so please have your list prepared.
You will have the opportunity to include a brief summary (approximately 30 words) about your organization or business to be included in the onsite program if space is reserved and paid by June 1, 2011. We recommend you have this summary prepared before reserving space to easily copy and paste in the designated area. Do not include your organization’s name as it will already be included. Please spell check!
You will have the opportunity to list any competing companies to avoid their placement next to your display.
You will have the option to indicate your preferred location(s). Refer to the exhibit diagrams page for assistance.
You will have the option to register your complimentary conference attendee(s) with the booth rental. If taking advantage of this option, please have the following informant for each ready: full contact information, including email address, If applicable, any special meal requirements (Example: vegetarian) or special needs (ADA). Deadline to register is June 1.
You will have the option to purchase Saturday floor badges and/or Saturday event tickets with each floor badge. Deadline to purchase tickets is June 1.
Full payment must be received to confirm booth rental. You can conveniently pay by credit card OR check using the online form. We recommend that you have your payment information on-hand, such as credit card, check number or purchase order number, if we are to invoice your institution. Wire transfer information is available upon request.
Cancellation of booth rental must be made in writing to the UFLEF, Inc., Office of Conferences (OCI), and will result in the following refund policy: 75% of the amount paid will be refunded for cancellations made on or before June 1, 2011. No refunds will be issued for cancellations after June 1, 2011. Email notice of cancellation to: mstage@ufl.edu.
