Incoming Freight

Instructions for Shipments scheduled to arrive between
Monday, June 13th through Monday, June 20th

**NO RECEIVING FEES WILL BE CHARGED TO YOU BY UTILIZING THIS OPTION
Incoming freight for the conference can be sent to an off-site shipping location beginning the week of Monday June 13th through Monday June 20th.  Freight should be well marked with the following 4 pieces of information:

  1. Include Conference name and dates: “2011 National Agriculture in the Classroom Conference, June 22-25, 2011”
  2. Label each box with the activity that it will be used for….”Make & Take”, “Table-Top Display”, “Roundtable Presentation”, etc…
  3. Include the name of your state on each box or package you send. Boxes will be organized in the storage room at the hotel according to the state from which they came. So when you go to look for your boxes, they will be in the area marked with the state’s name from which the boxes or packages came.
  4. Label each box to indicate the total number of boxes within that shipment.  For example: If you are shipping 4 boxes, please label the first “Box 1 of 4”, then “Box 2 of 4”, and so on.

After June 20th, shipments MUST be sent directly to the Harbor Beach Marriott, as there will not be anyone picking up these boxes any longer and driving them to the hotel. 

Farm Bureau Insurance CANNOT accept any shipments before Monday, June 13th.
After Monday, June 20th, the Farm Bureau Insurance WILL NOT receive your boxes.

Pickup of boxes sent to the offsite shipping location (Farm Bureau Insurance)
Once you arrive to the hotel, pickup of boxes sent to the offsite shipping location (Farm Bureau Insurance) will be in the Caribbean Salon VI room located on the first floor of the conference center. Boxes will be available for pickup beginning on Wednesday, June 22, 8:00am. The boxes will be organized by the state they were shipped from, so please be sure to have that information labeled on each box.

Instructions for Shipments scheduled to arrive beginning on Tuesday, June 21st

**YOU WILL BE CHARGED RECEIVING FEES BY THE HARBOR BEACH MARRIOTT TO SHIP DIRECT TO THEM

Charges are $10 per box, or $50 per pallet for incoming shipments which will be added to your guestroom folio.

Incoming freight shipped direct to the hotel should be well marked with the following 5 pieces of information:

  1. Include Conference name and dates: 2011 National Agriculture in the Classroom Conference, June 22-25, 2011
  2. Label each box with the activity that it will be used for….”Make & Take”, “Table-Top Display”, “Roundtable Presentation”, etc…
  3. Include your host state! This is very important, as this is how the boxes will be organized for you to pickup. If the shipment is coming from another location, please make sure they include your host state on the box.
  4. Label each box to indicate the total number of boxes within that shipment.  For example: If you are shipping 4 boxes, please label the first “Box 1 of 4”, then “Box 2 of 4”, and so on.
  5. On site contact staying at the hotel: this is the person who will be billed for the incoming shipment receiving fee.

Pickup of boxes sent directly to the Harbor Beach Marriott
The Marriott will need to give these boxes to you personally, and they will not be stored in our conference shipping office. You will need to call the hotel operator and ask for shipping and the shipping office will help you locate and sign for your box(es). You may also ask the front desk for help with this. The hotel will charge you a fee for handling of these boxes which they can put on your guestroom folio, if you are staying at the hotel or credit card payment if you are not staying at the hotel.

Outgoing Freight

On Saturday, June 25th, we will have a shipment area setup in the Caribbean I-III Foyer.  We will have blank shipping slips, for UPS only, so please bring your account numbers or credit card information to pay for shipping charges. We will also have tape so that you can close your boxes up.  We will have UPS come pickup these boxes, so that you are not charged handling fees by the hotel. This area will be closed by 12:15pm, so please make sure to bring your packages by as soon as possible.

The hotel also has a business center that can assist you with shipping, but handling fees will be accessed.
